Vehicle Rental Terms & Conditions
1. Definitions
Company / Lessor refers to the vehicle rental provider.
Hirer / Customer refers to the person renting the vehicle.
Vehicle refers to the rented vehicle described in the rental agreement.
Agreement refers to the signed rental contract between the Company and the Hirer.
2. Eligibility & Driver Requirements
The Hirer must provide a valid driving licence issued by the appropriate authority.
The Hirer must provide accurate personal, contact, and address information.
The Hirer confirms they are legally permitted to drive and have no undisclosed driving disqualifications.
Only drivers approved and listed in the agreement may operate the vehicle.
Unauthorized drivers are strictly prohibited.
3. Booking & Rental Period
The rental period begins and ends on the dates and times specified in the agreement.
The Hirer agrees to return the vehicle on or before the agreed return time.
Late returns may result in additional charges.
4. Payment Terms
Rental charges must be paid in full as agreed.
A security deposit (example shown in agreement: £500 deposit) is required before vehicle release.
The deposit may be used to cover:
Damage
Late return fees
Fuel charges
Traffic violations
Any breach of agreement
The remaining deposit balance will be returned after vehicle inspection, subject to deductions.
5. Security Deposit
The security deposit is held as financial protection against loss or damage.
The deposit will be refunded once:
The vehicle is returned in acceptable condition
No additional charges are outstanding
The Company reserves the right to retain part or all of the deposit where applicable.
6. Insurance & Liability
The Hirer acknowledges and agrees:
The Hirer accepts responsibility for any damage caused during the rental period.
The Hirer may be liable for insurance excess in the event of damage, accident, or loss.
The Hirer confirms all information provided for insurance purposes is accurate.
Failure to comply with insurance requirements may result in full liability for damages.
7. Vehicle Condition & Responsibility
By signing the agreement, the Hirer confirms:
The vehicle was received in acceptable condition.
The Hirer is responsible for the vehicle until it is returned.
The Hirer must take reasonable care of the vehicle.
The Hirer accepts full liability for:
Damage
Theft
Loss
Negligence
Misuse
8. Prohibited Use
The vehicle must NOT be used:
By unauthorized drivers
For illegal purposes
For racing or competitive use
Under the influence of alcohol or drugs
In violation of any traffic laws
Violation may result in termination of agreement and full liability.
9. Damage, Loss, and Repairs
The Hirer is responsible for:
Any damage occurring during the rental period
Repair costs not covered by insurance
Administrative and recovery costs
The Company reserves the right to charge accordingly.
10. Fuel Policy
The vehicle must be returned with the agreed fuel level.
Missing fuel will be charged at the Company’s applicable rate.
11. Return of Vehicle
The Hirer must return the vehicle:
On time
In the same condition as received (fair wear and tear excepted)
With all supplied equipment
Late return or failure to return may result in additional charges and legal action.
12. Charges & Additional Fees
Additional charges may apply for:
Late returns
Damage
Cleaning
Fuel shortages
Violations of agreement
Failure to make payment may result in:
Immediate termination of agreement
Legal action
Additional recovery costs
13. Termination of Agreement
The Company reserves the right to terminate the agreement immediately if:
Terms are violated
False information is provided
Vehicle is misused
The Hirer remains responsible for all charges and liabilities.
14. Hirer Declaration
By renting the vehicle, the Hirer confirms that:
All information provided is true and accurate
They accept full responsibility under this agreement
They agree to comply with all Terms & Conditions
15. Liability Acceptance
The Hirer accepts full liability for any damages caused to the vehicle during the rental period.
16. Legal Compliance
This agreement is governed by applicable local laws and regulations.
